The right data works every time |

We work with all kinds of data. We most commonly accept mailing lists made with Microsoft Excel (.XLS), Microsoft Access (.MDB), DBaseIV (.DBF), Comma Delimited (.CSV) and Tab Delimited text (*.TXT). Most programs that make databases will export to one of these file formats. Usually there will be a Save as function or an export option in your application to achieve the formats listed above. Format your fields correctly. Your list must have separate fields for First Name, Last Name, Address, Address1(generally an apartment or suite number), City, State and Zip code. Do not combine these fields! Once together, it may be impossible to separate them. Be sure when you enter data, you are using the correct field. It can be very easy to continue with the City, State and Zip items when entering in the delivery address fields. Save early, save often, save in one place. Keying in addresses takes time. Don’t ruin your work by forgetting to save, or using an old version of a file. Make an easily identifiable folder on your computer or network, and date each version of your list. Back Up your database. This mailing list you have compiled or purchased is one of your most powerful assets. Don’t trust this data to a floppy disk. Burn it to a CD or save to your hard drive. We suggest keeping a copy of your mailing list in a fire safe or off site. More than one customer has lost his data due to a cheap 3.5” floppy or by a hard drive crash Consider our addresses correction services. Even the best data entry employee will make mistakes. We can run software that will fix typographical errors that would ultimately send your mail to postal limbo. For an additional fee, we can compare your database against the USPS’s change of address list for the last six years, and automatically update your list to ensure you are mailing to the people you intend. |

Microsoft Excel is just one program you could use to build your database. It is important to keep fields separate to prevent problems with finding data and sending mail. Good data looks like this! |
